Default Teams of other Business Unit can’t be added

I would like to share a consideration I take while designing Teams that you might need to make certain records shareable. I faced an issue once when users started to use Default Teams created on Business Units. And after several months, it occurred that some users from other Business Units too needed to be on that Team. And several records were already assigned to BU provided Default Teams. Scenario Priyesh belongs to Southeast Asia BU and Somesh belongs to North America BU. Some records were assigned to North America team which is the Default Team created by BU. Priyesh wanted to be in the North America team and hence the user tried to add him in that Team. So adding North America to Teams under the user Priyesh, but I get the below error – That is because you cannot add Default Teams to users in some other BUs. As a workaround, I only created a new Team and named it “<BU Name> – Shareable” team and assigned records to this team so that I know where I want the records to be visible as per my Security Roles setup. And hence, added the North America – Shared team for Priyesh. I would also like to hear your suggestions and any workarounds you may have. Thanks! 😊

D365 PSA v3 – Resource Assignment and Booking

Introduction: There is no limit to what D365 PSA can do. However, it has undergone some significant upgrades. since PSA v3 is a major shift from its previous version, some processes have changed which has greatly enriched the experience of using D365 PSA V3. Let’s quickly look at how you can assign resources and then book them on the Project in PSA v3 using a perfect example. Project I have a sample Project called Grand Chocolatiers Inc. whose schedule looks like this (the WBS is now Schedule in PSA v3) – I will now Assign and Book a Resource to show you how this is done in PSA v3. Assigning Resources: Now, you don’t have any resources Assigned to the Project you just created, so let’s go to the Schedule in the Project and add a new Resource, say, Alicia Baker. I’ve added Alicia Baker without booking her. Coming to the Team and refreshing the grid, I’ll see Alicia being assigned the 12 Hours. Booking Resource: Now, I’ll come to the Resource Reconciliation section and see how I can book Alicia on the task. I’ll select the Previous Difference in order for me to see the distribution I want to book Alicia on. After I double click on the Hours denoted (1), I’ll see an expanded view (2). Now, if I only select the below highlighted days, I’ll be booking Alicia for those hours on the 3 selected days only. Then, I’ll click on Extend Booking. Once I confirm the 3 days that I see, the resource will be booked for that time. And I’ll see the updated Reconciliation View after I book the resource. Now, if you check the Team or the Schedule Board, you’ll be able to see that Alicia is now Booked for the selected duration. Conclusion: Microsoft Dynamics 365 for Project Service Automation enables companies to deliver projects more productively and profitably with higher client satisfaction and this is my personal experience. Assign your D365 records but keep access as well

Introduction: At times, you are asked to assign certain CRM records to other users and you just have to do it as a part of the process. But let’s face it, you still wonder what might have happened to the record after you assigned it to them but your security roles won’t let you access those. There’s a general D365 setting for this too! You can share your D365 records with other but still retain rights to yourself so keep track of what happened with those later on System Settings: Navigate to Settings > Administration > System Settings In General tab, look for the Setting where it reads as ‘Set whether reassigned records are shared with the original owner’ (quite self-explanatory) Assign Record and check Share Rights: Now, assigning a records from Priyesh to John as shown below – Priyesh would still have rights to the record. Check the Share status of the same. The record will be owner by John but will be shared with Priyesh too. Hope this is helpful!

Delegated Resource error for making time entries in D365 PSA 2.x version

Have you been added as a Delegate for a fellow colleague but not able to Read, Create or Submit Time Entries on their behalf? Let us see what you are missing. Scenario: William Contoso wants to make Veronica Quek as his Delegate and let her enter time on his behalf. Let’s say William added Resource Veronica Quek as the Delegate above. Error for the Delegate Resource: Now, Veronica is attempting to do time entries for William by going to Time Entry Calendar view and switching the user to William. And when Veronica wants to enter time as William, she’d switch to the User on the Time Entries Calendar View like this – But, see this error and she don’t know what the issue might be. Even though she’s the Delegate! Missing Security Role: Yes, this is the first thing you should check. Veronica Quek is missing a Delegate Security Role in PSA to be able to make time entries on behalf of other users. Assign Delegate security role to the user to make them enter time on behalf of others. And thus, your Delegated User should be good to make time entries.

Contract Invoice Schedule Status Change on Invoice Actions

Stages of Invoice Schedules are changed behind the scenes as you perform actions on the Invoice of the Contract. Let’s see what we have got here – So, when an Invoice Schedule is Ready for Invoicing, it will be considered in the Invoice you’ll end up creating. Now, if you create the Invoice for that Contract (shown below) The status now changes to Customer invoice created. And, when you mark that Invoice as Confirm, shown below – The Invoice schedule record’s Invoice Status will be changed to ‘Customer invoice posted’ Pretty straight forward!

D365 Unified Interface: Enabling embedded legacy dialogs

Introduction: Quite simply put, some of the embedded dialogs like the Advanced Find, Merge Records, Assign & Edit record windows which are not by default visible on the Unified Client Like when you multi-select records, you can’t see the typical Merge, Edit buttons on the ribbon. Here’s how you enable them. System Settings: In your Web Application’s system settings, you have an option under general where you can enable these buttons in the Unified Interface. Now, you can retain those buttons in the Unified Interface as well. Have a great time exploring Unified Interface!

Timezone effect on Work Hours

Introduction: Work Hours mentioned under a User/Bookable Resource aren’t the same as they show. Ever wondered what is Cross Day on Work Hours for a Bookable Resources in Dynamics 365 PSA or Field Service? Or even User record for that matter? And why not the actual Work Hours a resource is set to? You should see this – instead of this – Reasoning: So, The Bookable Resource’s time zone is GMT. And so is the same time zone of the logged in user i.e. GMT. In that case, you’ll see the actual time set for the user i.e. 8am to 5pm. But, let’s say, you are in a different time zone – Sydney, for example. And you are viewing Work Hours for a Bookable Resource who was set in some other time zone, their time conversion to your time will result in “crossing the day” over and hence, you see “Cross Day”.

Forcing Fields on BPF to be required programmatically

Overview: I had a requirement where I needed to make certain fields on BPF as required. So, I tried accessing the control using Xrm.Page.getControl(“header_process_description”) and then getAttribute().setRequiredLevel(“required”) on it would serve my purpose. But actually, not! To set perspective, the code runs and make the field required too. But there’s a catch! Required fields on the BPF are supposed to throw an error when you are trying to move to the next stage without filling in the required fields. But, using the code I’m talking about above (sample shown below), will force you to save the form entirely. Let alone moving the stages further. That when ‘How Did You Hear About Us?’ field has Employee Referral as value, make Purchase Process field required. Field is on the BPF But asks you to save on the form Workaround: The easiest workaround to this is using the conditional branching of your business process flow – You can use conditional branching of the BPF itself – You can replicate the same stage twice, one having your required field and other having that same field as optional However, limitations I found with this approach is – I couldn’t use the same for the first stage of the BPF The condition had to be from the previous stage itself   P.S.: Business Rules isn’t a solution as well. Also, I tried to inverse the logic by first making the field required in the BPF itself and then trying to make it not required using code. That doesn’t work either.

Email in Unified Interface as a separate app in D365

Introduction: Email in Unified Interface Dynamics 365 is also available as a separate app! Here’s how you can get it. By default, the new email capabilities are already available in the Unified Interface of D365. But you can have it as a separate app if you’d like. Installing the App: Here’s how you get it – 1. Navigate to the Instance Picker on the D365 Admin Centre, then go to Solutions area on the instance picker. 2. Once installed, it will appear as Installed. Provide Users access to the app & access it: The following security role should be provided to the users for them to access it – You can access the application from here. And here it is – Just a better way around than going into UCI and then looking for emails.
